VALE CENTRE COTTAGES BOOKING CONDITIONS
Your contract is with TN and CA MACCAW, trading as VALE CENTRE, who are the owners of Upper and Lower Cottages, courtyard of The Manor House, Stoke Trister BA9 9PH (“the property(ies)”).
Your booking, which must be on our Booking Form or via our website and sent to us with a non-refundable deposit of one-third of the total price, will only be effective when confirmed by us in writing or by email. The balance must be received by us not later than eight weeks before your holiday start date. If it is not paid by then, we reserve the right to cancel your booking. In that case your deposit will be forfeit. Where a booking is made by you less than eight weeks before your holiday start date, payment in full is required at the time of booking.
We reserve the right to refuse any booking which in our opinion is unsuitable for the property concerned. The person booking must be over the age of 18.
The properties are available for occupation from 3pm on the day of arrival and must be vacated by 10am on the day of departure, unless we agree otherwise.
You may invite friends over to visit, but only the guests listed on our Booking Form may stay at the property, unless by prior arrangement with us. The property is only to be used for the purpose of a holiday. You may not sub-let the property.
You must use the property responsibly and comply with any reasonable rules we lay down. Please do have consideration for neighbours and ensure that noise levels are kept down. We reserve the right to enter the property at any reasonable time provided reasonable notice is given to you, except in the case of an emergency. We also reserve the right to repossess the property immediately if you or a member of your party or your pet creates a significant nuisance to those staying or living near the property, or causes excessive damage. In the latter event no refund of the fees you have paid will be returnable to you.
Your Responsibility for Damage
You are responsible for leaving the property clean and in as good order as you found it. You agree to be responsible for paying the reasonable cost of repairing any damage or losses incurred during your stay, or at our discretion replacing any item which cannot be repaired, and for reimbursing us for any extra cleaning required.
Descriptions of Properties and Changes
We have used reasonable endeavours to ensure the information we publish is true and accurate. However you acknowledge that minor differences may arise between our photographs, illustrations and descriptions of a particular property and the actual property.
Difficulties and Maintenance
Should you have any difficulties with a property, require maintenance, or have any complaints, please notify us or our agent as soon as possible bearing in mind that some repairs may be difficult to carry out over a weekend or out of normal work hours. We will endeavour to put things right as speedily as we can.
Changes to confirmed bookings
Once dates of a booking have been confirmed by us to you, they can only be changed with our agreement.
You must inform us immediately if you are unable to go to the property you have booked with us. If you have to cancel as a result of serious and unavoidable circumstances, it is our usual practice to refund any monies already paid and waive any further payment due for your holiday.
In the event that no refund or waiver of monies is given, then the deposit (one third of the rental price) will be forfeit. We will do our best to re-let the property you have booked and, if successful, your liability for the balance of rental will cease. If we have not been successful in re-letting the property by the balance due date, you remain liable for the full cost of the holiday and must pay the balance on the due date.
If we re-let the property after the balance has been paid we will refund the balance to you (retaining the deposit to cover our costs in re-letting). If we are only able to re-let part of a cancelled period, or are only able to re-let the cancelled property at a discounted rate, then the refund will be reduced to the sum obtained on the re-letting in respect of the cancelled period less the deposit paid by the new hirer for that period.
Reasons for cancellation must be given in writing and, where relevant, a medical certificate provided. In the event of curtailment, reasons must be given for curtailment supported by a medical certificate, if due to medical reasons, confirming that curtailment of the holiday was necessary. Certificates, information and evidence to support a cancellation shall be provided by you at your expense.
Full information about any dogs you want to bring with you must be disclosed at the time of booking and only those dogs we confirm are acceptable may be brought to the property.
Where dogs are allowed, you must ensure that no damage is caused by them to the property and that they are kept on a lead on or near roads and any fields containing farm animals, and cause no disturbance within the surrounding area. Dogs must be supervised and kept under control at all times, and their access to areas of the property that are unsuitable for dogs or would compromise reasonable standards of hygiene must be prevented by you. Dogs are not allowed on furniture or in bedrooms. You must always clear up after your dogs and you must remove all trace (inside and outside the property) of your dogs having been present before you leave the property.
Liability and Responsibility
You and members of your party are solely responsible for the safekeeping of your vehicles and possessions when staying at the property. We do not insure against the loss or damage of such items. Please also be aware that there is a large pond, and watercourses leading from and to it, by The Manor House courtyard and other hazards of the nearby countryside, which could present a danger to children, who must at all times be kept supervised by a suitable adult in your party. Similarly, if you and members of your party choose to walk across fields containing farm animals you should remember that cows in particular may feel threatened even by the presence of a dog on a lead and seek to chase it. Please therefore plan in advance and avoid the potential for such incidents by choosing another route wherever possible, as we cannot be held responsible for the consequences if such confrontations occur.
In the event of any inconsistency between these Booking Conditions and any of our other literature, whether found in our website or otherwise, the provisions of these Booking Conditions will prevail.
When you book your holiday with us, we collect personal information such as your name, email address, home address, and telephone number. This allows us to book the property for you. We may use the information that we collect to occasionally notify you about news and information we think you may find valuable. For example, we may send you our latest special offers. If at any stage you decide that you would rather not receive such information, please contact us by telephone, email or post and we will cease contacting you.
